The eClaims dashboard tab

Use the eClaims dashboard tab to quickly and easily get information about the e-claims of your ezyVet site.

The information that the eClaims dashboard tab shows includes:
  • The name of each e-claim
  • The policy number of each e-claim
  • The related client and patient of each e-claim
  • The related clinical records and invoices of each e-claim
  • The status of each e-claim
Note: The eClaims dashboard tab shows all e-claims. The e-claims shown include insurance companies that have an integration and insurance companies that do not have an integration.

Tip: If you select an e-claim as shown in the Claim column, ezyVet opens the e-claim in a new record tab.

Filters of the eClaims dashboard tab

The eClaims dashboard has filters that you can use to help find e-claim records. The filters use data that includes:
  • E-claim status
  • Insurance company name
  • Claim reference number
  • Insurance policy number
  • Deposit number
  • The staff member who made the e-claim record

The e-claim filters

Status filter

To find an e-claim that has a specified status, use the Status filter. The table that follows gives each status that you can select and its function.

Note: The eClaims dashboard tab shows all possible e-claim statuses. The statuses shown include e-claim statuses for insurance companies that have an ezyVet integration and insurance companies that do not have an integration. For example, the status 12300 - Claim is rejected due to Gap not eligible is only applicable to e-claims for PetSure insurance because PetSure has an integration.

AnySelect Any to show all e-claims.
-1 - Claim ready to be receivedSelect - 1 -Claim ready to be received to show e-claims that are prepared but that you did not send.
11000 - Claim Conversation Id is generatedSelect Claim Conversation Id is generated to show e-claims that have a conversation ID.
12001 - Claim is invalidSelect 12001 - Claim is invalid to show e-claims that have incorrect information or information that is missing.
12002 - Claim is receivedSelect 12002 - Claim is received to show e-claims that the insurance company system received but that the insurance company did not download.
12300 - Claim is rejected due to Gap not eligibleSelect 12300 - Claim is rejected due to Gap not eligible to show e-claims that the insurance company declined because the gap coverage is not approved.
12400 - Claim is rejected due to Practice Not registeredSelect 12400 - Claim is rejected due to Practice Not registered to show e-claims that the insurance company declined because they do not have your organization in their system.
13000 - Claim is ready to be downloaded by InsurerSelect 13000 - Claim is ready to be downloaded by Insurer to show e-claims that you prepared and sent, and that the insurance company can download from their system.
13001 - Claim is requested to be downloaded by InsurerSelect 13001 - Claim is requested to be downloaded by Insurer to show e-claims that the insurance company started to download. ezyVet did not receive information that the download completed.
13002 - Claim is downloaded by InsurerSelect 13002 - Claim is downloaded by Insurer to show e-claims that the insurance company downloaded.
19000 - Claim is being processedSelect 19000 - Claim is being processed to show e-claims that the insurance company received, downloaded, then started a check of the claim information.
19001 - Claim is settledSelect 19001 - Claim is settled to show e-claims that the insurance company approved and paid.
19002 - Claim is declinedSelect 19002 - Claim is declined to show e-claims that the insurance company declined.
19003 - Claim is acknowledgedSelect 19003 - Claim is acknowledged to show e-claims when these conditions agree:
  1. The insurance company received the e-claim
  2. The client made the necessary gap payment
  3. ezyVet sent the gap payment information to the insurance company
-999 - Claim has been cancelledSelect -999 - Claim has been cancelled to show e-claims that the insurance company canceled.
-1000 - Claim is cancelledSelect -1000 - Claim is cancelled to show e-claims that a staff member canceled.

Sent and completed columns

The list of e-claim records as shown in the eClaims dashboard tab has a Sent column and a Completed column. Each column can show a red cross icon and a green check mark icon:

This table gives information about each icon and the information that it identifies:

SentRed crossStaff did not send the e-claim or it is not possible for ezyVet to send the e-claim.
Green check markezyVet sent the e-claim to the insurance company.
CompletedRed crossezyVet sent the e-claim to the insurance company. The insurance company did not complete the e-claim or did not send the applicable information to ezyVet.
Green check markezyVet sent the e-claim to the insurance company. As a result, the insurance company:
  • Canceled the e-claim
  • Accepted the e-claim
  • Declined the e-claim
