Make a communication task for a vaccination service reminder

After you make a communication task for a vaccination service, ezyVet automatically sends vaccination reminder messages to clients.

  • Make sure that know you know the general function of communication tasks and communication task settings
  • Make sure that you know the function of communication task settings that are applicable to care service reminders
  • Make sure that you know which email template to use for the vaccination reminders
  • Make sure that ezyVet has a configured care service for vaccinations
  • Make sure that client contact records have email address information
To make a communication task, do this procedure.
Note: This procedure uses a vaccination service as an example. The example has a basic set of information.
  1. Select Admin.

  2. In the settings list, select Automated Tasks.

  3. Select Communication Tasks.

    ezyVet shows settings for a new communication task.
  4. In the Name box, enter an applicable name.
    Note: Enter a name that makes it easy to know which care service the communication task is for.
  5. Set Automatically Run to YES.
  6. Use the Next Run boxes to set the date and time that that communication task initially starts.
  7. Set Repeat Method as necessary to control the interval of the communication task.

    Note: If you set Repeat Method to Repeating, use the Run Every settings that show to set the interval of the communication task.
  8. In the Send Methods section, set Type as necessary.

    Note: if you set Type to Create Pending Communication, ezyVet makes communication records for the messages but does not automatically send the messages.
    If you set Type to Send Immediately:
    1. ezyVet makes communication records for the messages
    2. ezyVet automatically sends the messages at the time that a practice manager configured ezyVet to send messages
  9. Set Communication Type to Email.

  10. In the Template box, select an applicable email template.
  11. If you want to include file attachments with each email, use the Send With Attachments box to select them.
  12. In the Communicate For box, select the care service that the communication task sends messages for.

    ezyVet shows Time Period settings and Filters settings.
  13. Use the Time Period settings to schedule when ezyVet sends vaccination reminders.
  14. Use the Filters settings to control which clients the communication task ignores for vaccination reminders.
  15. Set Exclude if, for the events you wish to communicate for, they have already been communicated by as necessary.

  16. Select Save.
