Condition settings of a care service

When a practice manager uses the standard-of-care system to make a care service, ezyVet gives access to condition settings. A practice manager uses the settings to configure the full set of conditions that the care service uses to automatically calculate dates for vaccinations and treatments.

A full set of conditions has:
  • Record types and information that that is applicable to the care service
  • Record types and information that the care service ignores
  • The vaccines or treatments that the care service uses when all conditions agree

Record types and information that is applicable to a care service

To configure information that is applicable to the care service, select the plus button that is adjacent to:
  • The Vaccine For condition setting
  • The Treatment For condition setting
After you select the plus button, ezyVet shows a New Event Group Restriction dialog box. Use the dialog box settings to configure the record type, time, and other information that are applicable to the care service.

This table gives each dialog box setting and its function:

SettingFunction
Applicable ToUse Applicable To to control which type of record or type of information the care service is applicable to. You can set Applicable To to one of:
  • Animal
  • General
  • Species
  • Breed
  • Presenting Problem
  • Therapeutic
  • Sex
  • Reminder

A box is adjacent to Applicable To. Use the box to select an applicable record or item of information.

AnimalIf you select Animal, the care service is applicable to the patient that you use the box to select.
GeneralIf you select General, the care service is applicable to record tags that are in the General tag category.
SpeciesIf you select Species, the care service is applicable to the species that you use the box to select.
BreedIf you select Breed, the care service is applicable to the breed that you use the box to select.
Presenting ProblemIf you select Presenting Problem, the care service is applicable to patients that have the selected presenting problem.
TherapeuticIf you select Therapeutic, the care service is applicable to patients that have the selected clinical procedure.
SexIf you select Sex, the care service is applicable to the patient sex that you use the box to select.
Reminder
ForFor has no function during configuration of care service conditions. Do not use it.
Importance Default
Non-CoreIf the vaccination or treatment is not mandatory or not very important, set Importance to Non-Core.
Note: In standard-of-care tables, a care service with Importance set to Non-Core shows before a care services with Importance set to Required or Core.
CoreIf the vaccination or treatment is not mandatory but it is important and recommended, set Importance to Core.
Note: Standard-of-care tables show a care service as bold text with a red color when these conditions agree:
  1. You set Importance to Core for the care service
  2. The care service is overdue
Note: In standard-of-care tables, a care service with Importance set to Core shows before a care service with Importance set to Required.
RequiredIf the vaccination or treatment is mandatory, set Importance to Required.
Note: Standard-of-care tables show a care service as bold text with a red color when these conditions agree:
  1. You set Importance to Required for the care service
  2. The care service is overdue
Note: In standard-of-care tables, a care service with Importance set to Required shows after a care service with Importance set to Core.
First Due At AgeUse First Due At Age to control the first due date of the vaccination or treatment. The due date is applicable to the patient age.
Note: For example, it is necessary to give a deworming treatment to a puppy for the first time when the puppy age is two weeks. Thus, you set First Due At Age for the treatment to two weeks. As a result, the standard-of-care system automatically calculates the correct due date for the first deworming treatment.

Record types and information that a care service can ignore

To configure a care service to ignore specified information, select the plus button that is adjacent to the Exclude For condition setting. After you select the plus button, ezyVet shows a New Event Group Exclusion dialog box. Use the dialog box settings to configure the record type and information that the care service ignores. For example, if the care service is applicable to canines, you can configure it to ignore one breed. Or you can configure the care service to ignore one patient.

This table gives each dialog box setting and its function:

Vaccines and treatments that the care service uses

To select the vaccines and treatments that a care service uses when all conditions agree, select the plus button that is adjacent to Event Group Associations. After you select the plus button, ezyVet shows a New Event Group Association dialog box. Use the dialog box settings to select an applicable vaccine or treatment. For example, you could configure a set of conditions for a rabies vaccination. Then when all conditions agree, the care service invoices the rabies vaccine that you selected.

This table gives each dialog box setting and its function:

ProductUse Product to select the vaccine or treatment that the care service uses.
ForFor has no function during configuration of care service conditions. Do not use it.
Next Due InUse Next Due In to control the next due date for when the vaccination or treatment is necessary. The next due date is applicable from when you give the first vaccination or first treatment to a patient. When a staff member invoices a client for the vaccination or treatment, the standard-of-care system automatically calculate the next due date. The calculated due date shows in Standard of Care tables for applicable patients.

You can set a different Next Due In date for each vaccination or treatment of the care service.

Note: For example, it is necessary for Callisto Vets staff to give FVRCP vaccinations for all cats at three weeks, one year, and three years.
A practice manager makes one product record for each FVRCP vaccine with these names:
  • FVRCP three-week
  • FVRCP one-year
  • FVRCP three-year
The practice manager makes a vaccination care service for the FVRCP vaccinations. They add each vaccine product to the care service as follows:
  1. They add the FVRCP three-week product and set Next Due In to three weeks
  2. They add the FVRCP one-year product and set Next Due In to one year
  3. They add the FVRCP three-year product and set Next Due In to three years

As a result, the standard-of-care system automatically calculates the correct due dates when a staff member invoices the client for FVRCP vaccinations. The calculated due dates shows in Standard of Care tables for cat patients.

Per Quantity Use Per Quantity to enter a value that the standard-of-care system uses to automatically adjust the next due date for a vaccination or treatment. The automatic adjustment is applicable when a client wants to buy more than one item of a vaccination or treatment.
Note: For example, Callisto Vets has a flea treatment product. One item of the treatment product gives four weeks of protection.
A client wants to buy three of the flea treatment for the first time that they buy it. The practice manager makes a treatment care service for the client. In the condition settings for the care service:
  1. They select the flea treatment product
  2. They set Next Due In to four weeks
  3. They select Per Quantity and enter a unit value of 1

A staff member adds three of the flea treatment to the client's invoice. Then, they invoice the client.

As a result, the-standard-of care system automatically calculates a next due date of of 12 weeks for the flea treatment. The calculated due dates shows in Standard of Care tables for the patient.
