Message types that you can use with communication tasks

A practice manager can configure a communication task to automatically make different types of messages.

These are the message types that you can use with a communication task:
  • Email
  • SMS messages
  • Postcards
  • Letters
  • Phone calls
Each message type of a communication task has a different configuration that a practice manager must do. And the communication task gives a different result for each message type. The table that follows gives:
  • Each message type
  • The applicable configuration for the message type
  • The message and related information that is the result of the communication task

EmailMandatory:
  • ezyVet must have a configured email template that has the content of the email message
  • The contact records of clients who receive the email message must have an email address set
  • The client contact record must have For Reminders/Automated Communication selected for the applicable email address
    The For Reminders/Automated Communication setting
When the communication task completes correctly:
  1. ezyVet makes the email messages
  2. If applicable, ezyVet automatically sends the messages to clients
Note: ezyVet uses the time range that a practice manager sets in the Communication Hours system setting to send the messages.
SMS messagesMandatory:
  • ezyVet must have an enabled SMS module
  • ezyVet must have a configured SMS template that has the content of the SMS message
  • The contact records of clients who receive the SMS message must have a mobile phone number set.
  • The client contact record must have For Reminders/Automated Communication selected for the applicable mobile phone number
    The For Reminders/Automated Communication setting
When the communication task completes correctly:
  1. ezyVet makes the SMS messages
  2. If applicable, ezyVet automatically sends the messages to clients
Note: ezyVet uses the time range that a practice manager sets in the Communication Hours system setting to send the messages.
Phone callsMandatory:
  • The contact records of clients must have a phone number set.
  • The client contact record must have For Reminders/Automated Communication selected for the applicable phone number

Optional: A practice manager configures a phone template with the information that staff members use when they speak to clients during the phone calls.

When the communication task completes correctly:
  1. ezyVet makes a list of clients and their phone numbers
  2. If applicable, ezyVet makes a communication record that has the information staff members use when they speak to the clients during the phone calls.
LettersMandatory: The contact records of clients must have a postal address set.

Optional but recommended: A practice manager configures a document template that has the content of the letter.

When the communication task completes correctly:
  1. ezyVet makes a list of clients and their addresses
  2. Makes a document that has the letter content for each client

Then, staff can send the letters to clients.

PostcardsMandatory:
  • ezyVet must have a configured postcards integration
  • The contact records of clients must have a postal address set
  • ezyVet must have a configured postcard template
When the communication tasks completes correctly:
  1. ezyVet makes the postcard content for the applicable clients
  2. The postcards integration makes sure that clients receive the postcards
