About communication tasks

A communication task is an ezyVet feature that helps you to automatically make and send many messages for clients. Communication tasks decrease the manual work that staff do to make and send client messages.

Types of information that you can use with a communication task include:
  • Appointment reminders
  • Appointment follow-up messages
  • Reminders for due or overdue care services
  • Postcards
  • General messages for clients

Communication tasks and message types

Communication tasks can use different message types. For example, communication tasks can make .
  • Email messages
  • SMS messages
  • Letters that staff can print and send

To use the different message types, client contact records must have the necessary information for the message types. For example, before a communication task can make email messages for a client, you must enter an email address in their contact record.

One configured communication task can use more than one message type. For example, one communication task can automatically make email messages, SMS messages, and letters. Thus, it is not necessary to configure one communication task for each message type.

Note: ezyVet uses Snail Mail to identify a message type of printed documents (for example, letters).

Communication tasks and file attachments

If you use an email message type for a communication task, the communication task can include file attachments. As a result, each email message that the communication task automatically sends includes applicable file attachments.

Applicable file attachment types that a communication task can use include PDF documents and images.

Note: A practice manager configures the file attachments that a communication task uses.

The For Reminders/Automated Communication setting

A practice manager usually configures the communication tasks for your organization. But it is important for other staff to know about the For Reminders/Automated Communication setting that shows in contact records. ezyVet shows the For Reminders/Automated Communication setting adjacent to the email addresses and phone numbers that you enter in a contact record. If you select For Reminders/Automated Communication, a communication task can use the email addresses and phone numbers to make and send messages.

Configured communication tasks of a new ezyVet site

All new ezyVet sites have a set of configured communication tasks. A practice manager can use the configured communication tasks to quickly and easily start with communication tasks for their organization. Or they can use the communication tasks as a initial source to make communication that are more applicable to their organization.
