It is important for practice managers to know the function of the financial lockdown settings.

The Financial Lockdown Date (Inclusive) settings

Use the Financial Lockdown Date (Inclusive) settings to set the financial lockdown period. This table gives each setting and its function:

Fixed DateStaff cannot change financial records before the date that you select. And the date does not automatically change.
Set with End of Day WizardThe End of Day Wizard report controls the financial lockdown period.
Start of dayStaff cannot change financial records before 12:00 AM each day.
Start of weekStaff cannot change financial records before the start of each week.
Day of MonthStaff cannot change financial records before the day of the month that a practice manager uses Day of Month to select.
Note: A month could have a total number of days that is less than the number that you select.. As a result, financial lockdown will start on the last day of the month. For example, if you set Day of Month to 31 but the month has a total of 29 days, financial lockdown will start on day 29 of the month.
If you select Day of Month, ezyVet shows a Lockdown closing period (days) setting. Use Lockdown closing period (days) to control the period between a day of a month and the start of the financial lockdown period. For example:
  1. The date is November 1, 2023.
  2. You set Day of Month to 1.
  3. You set Lockdown closing period (days) to 3.
As a result:
  1. During November 1, November 2, and November 3, you can make changes to financial records that have a date range of October 1 to October 31
  2. After November 3, the financial lockdown period starts and you cannot make changes to records that have a date that is before November 1

The Restrict Payment Deallocations with Financial Lockdown setting

The Restrict Payment Deallocations with Financial Lockdown setting controls how staff can change payment allocations. This table gives the function of the setting:

YesStaff can remove the payment of an invoice only if the invoice was made in the current financial lockdown period. Staff cannot remove the payment of an invoice if the invoice was made before the current financial lockdown period.
NoStaff can remove the payment of an invoice if the invoice was made before or after the current financial lockdown period.
Note: Staff cannot change a payment quantity or disable a payment. But they can change the relation of a payment to a different invoice.
Tip: You can use the Restrict Payment Deallocations with Financial Lockdown setting to make sure that ezyVet reports for staff commission have accurate data. For example, you can use the setting with the Payment Revenue By Group report to prevent changes of the relations between payments and invoices of different periods.
Important: Be careful if you use invoice revenue data to pay staff commission. The Restrict Payment Deallocations with Financial Lockdown setting can prevent corrections to payment allocations that are not accurate.
