About streamlined estimates

Streamlined estimates is a new pilot feature for ezyVet. The pilot feature includes new functions and user interface changes that decrease the manual work necessary for estimates.

Streamlined Estimates makes estimates better and much easier to use because:
  • You can add product bundles to estimates
  • ezyVet continuously and automatically saves changes while you make an estimate
  • You have easy access to buttons to send estimates to clients with email and SMS
  • You can easily decline estimate line items and put them back
  • ezyVet automatically changes estimate statuses and shows statuses clearly
  • The estimates screen is clear and easy to use

Note: If your ezyVet site uses the streamlined estimates pilot feature, you cannot change back to the legacy estimates system.

Product bundles and estimates

Streamlined Estimates is compatible with product bundles. As a result, you can quickly and easily add a product bundle to an estimate line item.

If an estimate line item has a product bundle, you can make changes to the item quantities of the product bundle directly from the line item. To make changes, hover over the line item and select the edit button. Then, use the dialog box that shows to enter applicable quantity values.

Note: During configuration of a product bundle, a practice manager can set a Default Qty value for each product bundle item. When you add a product bundle to an estimate, ezyVet automatically uses the Default Qty value to set the item quantities for the estimate.

Declined items

Each estimate line item shows a Decline button that you can select to decline the line item. Declined line items show clearly in a dedicated area in the estimates screen:

Initial values of estimate line items

The estimates screen can show a Reset items button. Use Reset items to set one or more products to initial values. For example, if you make changes to a product price and discount, select Reset items to set the product to its initial values. The product record settings are the source of the initial values.

To show the Reset items button, select the applicable product line items in the estimate:

Discounts for estimate line items

The estimates screen can show a Discount button that you can select set a discount for one or more estimate line items. To show the Discount button, select the applicable product line items in the estimate:

After you select Discount, ezyVet shows a dialog box that you can use to enter a discount percentage and to select a price adjustment reason.

An estimate can use a price adjustment rule (PAR) for automatic estimate discounts.

Note: A price adjustment rule (PAR) can use date and time as its input data. For estimates, an applicable PAR uses the date and time shown in the Date box of an estimate to calculate discounts. If you make an estimate that uses an applicable PAR, then complete the work given in the estimate at a different time or date:
  • The PAR continues to use the initial date of the estimate to calculate estimate discounts
  • As a result, the invoice that ezyVet makes from the estimate will possibly have different prices compared to the estimate

Sales templates and estimates

Streamlined Estimates is compatible with sales templates. As a result, you can quickly and easily add many products and items to an estimate at the same time.

Invoices and estimates

A practice manager can configure ezyVet to automatically make an invoice from an estimate. ezyVet makes the invoice after you select Share with client > Accept & invoice in the estimates screen.

As a middle step between selection of Share with client > Accept & invoice and the new invoice, ezyVet shows an Apply estimate to invoice dialog box. Use the dialog box to:
  • Select a staff member for the invoice
  • Select a clinical record for the invoice
  • Adjust the quantities of each line item

After ezyVet makes an invoice from an estimate, the invoice line items are unapproved. Thus, make sure that you approve the line items as necessary.
Note: An invoice that ezyVet makes from an estimate can have product types that include vaccinations and diagnostics. ezyVet only adds to the products to the source clinical record if you approve the invoice line items.

Send estimates to clients

The estimates screen for Streamlined Estimates has a Share with client button that makes it easy to send an estimate with SMS or email:

When a client receives the estimate, they can enter an electronic signature to accept it. After they enter a signature, ezyVet automatically changes the estimate to the Accepted status.

Note: To send estimates to clients for an electronic signature, these templates must have the correct configuration for remote signatures:

Estimate copies

The estimates screen of the Streamlined Estimates feature shows a Copy button. Use the button to quickly and easily make a copy of an estimate.

After you select Copy, ezyVet shows a Copy estimate dialog box. Use the dialog box to make changes to the information to the estimate copy that ezyVet will make. For example, compared to the source estimate, you can select a different patient or client, and you can change the estimate name.

Estimate printing

Streamlined Estimates has two methods that you can use to print an estimate. The easiest method is to open the applicable estimate, then select Print. As a result, ezyVet immediately prints the estimate or shows a PDF of the estimate that you can print.

As an alternative, you can use the Print (PDF) button that shows after you do these steps:
  1. Open the applicable estimate.
  2. Select Share with client.
  3. In the new record tab that ezyVet opens, select Save.

Note: A product bundle has dedicated configuration settings that control how the product bundle shows in:
  • PDF documents that you make from estimates
  • Estimates that show in presenting mode in ezyVet
  • Estimates that show in in a web page for a client remote signature
A product bundle in a PDF document, presenting mode, or a web page can show:
  • Only the total price and name of the product bundle
  • The product bundle name and total price, and all bundle items with their prices
  • The product bundle name and total prices, and all bundle items without their prices

User account permissions for unit prices

ezyVet has a Financial > Estimate > Change Unit Price user account permission. If the user account of a staff member has the permission:
  • They can change the unit price of an estimate line item if the line item is not the top line item of a variable-price product bundle
  • They cannot change the unit price of estimate line items of a fixed-price product bundle

  • They can change the unit price of an estimate line item if the line item is not the top line item of a product with a service fee
