About clinical record lockdown

Use clinical record lockdown to automatically prevent changes to clinical records after a given date.

Clinical record lockdown:
  • Helps makes sure that your organization has accurate clinical records
  • Helps makes sure that changes to clinical records are easy to monitor
  • Helps makes sure that staff cannot incorrectly change clinical records

Clinical record lockdown and locked clinical records

Persons with the applicable user account permissions can also lock clinical records. And ezyVet can also automatically lock clinical records. Thus, ezyVet has two features that prevent clinical record changes:
  • Clinical record lockdown
  • Locked clinical records (with a manual or automatic method)

It is important to know that the two features are not the same. Because you can use the features at the same time, it is important to know how and when each feature prevents changes to clinical records.

This table gives conditions and results for clinical record lockdown and locked clinical records:

The record is in the clinical lockdown period and the record is not locked.A person cannot change the record data. And a person cannot lock the record.
The record is in the clinical lockdown period and the record is locked.A person cannot change the record data. And a person with the Clinical > Clinical Record > Clinical Record > Unlock user account permission cannot unlock the record.
The record is not in the clinical lockdown period and the record is locked.Only a person with the Clinical > Clinical Record > Clinical Record > Unlock user account permission can unlock the record. After the person unlocks the record, all staff of the site can change the record data.

Note: The Clinical > Clinical Record > Clinical Record > Unlock permission is only applicable to locked clinical records. The permission is not applicable to clinical record lockdown. If a clinical record is in the clinical record lockdown period, a person with the Clinical > Clinical Record > Clinical Record > Unlock permission cannot unlock it. To change the clinical record, a practice manager must first change the clinical record lockdown period.
ezyVet identifies a locked clinical record with a lock icon:

ezyVet shows LOCKED and UNLOCKED buttons in clinical records for persons who have the applicable permissions for locked clinical records. But a clinical record that is in the clinical record lockdown period:
  • Does not show the lock icon
  • Does not show the LOCKED button or UNLOCKED button
