About the Controlled Drug report

Use the Controlled Drug report to show controlled drugs that staff dispensed.

The Controlled Drug report includes information about:
  • The controlled drugs that you dispensed
  • The controlled drugs that other staff members dispensed
  • The staff members who prescribed the controlled drugs
  • The staff members who dispensed the controlled drugs
  • Your organization's pharmacy
  • The primary owners of the patients who received the controlled drugs

About the ASAP versions of the Controlled Drug report

You can select an American Society for Automation in Pharmacy (ASAP) version of the Controlled Drug report. The ASAP versions show more information than the Standard version of the report. If your organization dispenses controlled drugs in the United States, you can upload the data (DAT) format of the report to an applicable reporting portal for controlled drugs (for example, PMP Clearinghouse). As a result, it is not necessary to manually enter information about each controlled drug in a reporting portal.

The Version section shows the different versions of the Controlled Drug report that you can select:

The available ASAP versions are:
  • ASAP 4.1
  • ASAP 4.2
  • ASAP 4.2A
  • ASAP 4.2B
Note: Make sure that you select the ASAP version that is mandatory for your state.
Note: The Standard version of the Controlled Drug report is not compliant with the Controlled Substance Utilization Review and Evaluation System (CURES).
After you select as ASAP version of the report, you can download the file as a data (DAT) file. You can enter the data file in a reporting portal for controlled drugs:

Note: You cannot download an ASAP version of the report as a PDF file.
The Version section has a Test Submission setting that you can use to make a test report. Upload the test report to an applicable reporting portal for controlled drugs to make sure that the report has the necessary information and the correct format. The output of the test report shows a T in its File Type (TH07) column. The T identifies the report as a test report.

Controlled drug reporting for take-home medication

The Controlled Drug report automatically shows each product record that staff dispensed. If it is only necessary to do controlled drug reporting for take-home drugs, ezyVet customer support recommends these steps:
  1. A practice manager makes a copy of the product record of the controlled drug
  2. A practice manager configures the product record copy as a product container
  3. A practice manager changes the product name and the product code of the copy to identify it as a take-home medication
  4. A practice manager adds a search group tag to the copy
  5. Staff select the copy when they add the take-home medication to an applicable clinical record
As a result of the step:
  • Your ezyVet site has accurate inventory levels
  • When staff add a product to a clinical record, they can quickly and easily select the applicable take-home product
  • You can use Products with tag to configure the output of the report to only show the product records that staff dispensed to patient owners to take home
    Tip: The practice manager can also use the financial settings of the product container of the take-home drug. For example, they can change the price of the take-home product record.
