Hospitals with many departments: Activate and configure Vello online scheduling for appointment requests (planning guide method)

A practice manager can use ezyVet planning guides to configure the available times that the Vello client portal shows to clients for appointment requests. The available times shown are for appointments for wellness visits and sick visits.

To configure online scheduling with planning guides, do this procedure.
Note: Vello for ezyVet hospitals and departments is only available for specified customers at this time. For more information, contact ezyVet customer support.
Note: As an alternative to this method, a practice manager can configure available days and times for appointments directly in Vello.
  1. Select Admin.

  2. In the settings list, select Integration.

  3. Select Vello.

    If your ezyVet site has only one configured hospital, ezyVet shows the hospital name. But if your site has more than one configured hospital, ezyVet shows a list of hospitals.
  4. Select the arrow for the applicable hospital.

  5. Select Manage Settings.

  6. In the left sidebar, select Appointment Scheduling.

    Note: If the left sidebar is closed, select the appointment scheduling button:

  7. Set Online Appointment Scheduling to Enable.

  8. Set the applicable visit type to Enable.

  9. For the applicable visit type, select Edit.

    Note: The applicable visit types are:
    • Wellness visit
    • Sick visit
  10. Set Appointment Length to the applicable time.
  11. Set the Booking Type to Appointment Requests.

  12. In the Department Selection box, select the department that clients can schedule visits with.

  13. In the Calendar Availability section, select Use Planning Guides.

    Vello shows all appointment types that it synced from ezyVetVello shows all appointment types that it synced from ezyVet. The appointment types that planning guides use show in the Unavailable for Online Scheduling section with a red color:

  14. In the Unavailable for Online Scheduling section, select an applicable appointment type.
    If you want to make planning guides that use a Recheck appointment type available for wellness visits, find the the appointment type in the Unavailable for Online Scheduling section. Then select it to move it to the Available for Online Scheduling section.
    Vello moves the appointment type to the Available for Online Scheduling section.
  15. In the Provider Availability section, select the staff members and rooms that you want to make available for appointments.
    Note: If you do not want a staff member to show as available for appointments, deactivate the Enable setting.
  16. Select Done.

The online scheduling system has the changes for the department that you selected in step 12. When a client uses the client portal to make an appointment:
  1. Vello gets planning guide information from ezyVet for the applicable staff member
  2. The client portal uses the planning guide information to show only the days and times that the staff member is available
Note: The Vello client portal does not show departments to clients for appointments. The client portal only shows the hospital that you selected in step 4.
