The Unbilled Items section of clinical records

The Financial tab of a clinical record has an Unbilled Items section. The Unbilled Items section shows products of billing triggers. Each product is one that ezyVet will automatically add to an invoice.

Unbilled items example shows the Unbilled Items section of a clinical record. The section shows the product of an appointment's billing trigger. The product is a Clavamox Chewable Tablets product that a staff member gave to the patient during the appointment. Because the Unbilled Items section shows the product, ezyVet will automatically add the Clavamox Chewable Tablets product to an invoice.

The Unbilled items section
ezyVet has a system setting that controls when ezyVet automatically adds products of billing triggers to invoices. The system setting is Hours Ahead That An Item Is Billed:

The Hours Ahead That An Item Is Billed setting has a box with an hours value. The hours value gives ezyVet the maximum time range that ezyVet can use to automatically add products to invoices. The maximum time range is applicable to the start time of the feature or function task that has the billing trigger (for example, the start time of an appointment).

On Monday, a practice manager gets access to ezyVet's system settings and enters an Hours Ahead That An Item Is Billed value of 2.
On Tuesday at 9:00 AM, a staff member
  1. Makes an appointment for 3:00 PM on the same day
  2. Adds a billing trigger for travel time to the appointment

As a result, ezyVet automatically adds the travel time to the appointment invoice at 1:00 PM. And until 1:00 PM, the Unbilled Items section of the applicable clinical record shows the travel time product.

On the same Tuesday at 10:00 AM, a different staff member makes an appointment for 11:00 AM on the same day. They also add a billing trigger to the appointment for travel time.

As a result, ezyVet automatically adds the travel time to the appointment invoice immediately. ezyVet adds the product immediately because:
  1. The practice manager configured ezyVet to use a maximum time range of two hours
  2. The appointment that has the billing trigger starts at a time that is less than two hours
