Do an inventory count (CSV file method)

To do an inventory count with ezyVet, you can use the output of the Inventory Take report and a CSV file that you upload to ezyVet. When you do the upload, the CSV file tells ezyVet to make the inventory count record. As a result, ezyVet's inventory records agree with the quantity of in-inventory products that your organization has.

The inventory count procedure has three primary steps that you do in sequence:
  1. Use the Inventory Take report to get inventory information.
  2. Count and record your inventory levels.
  3. Upload the completed CSV file to ezyVet.

1. Use the Inventory Take report to get inventory information

To find the Inventory Take report, use the Reporting primary tab. If you want to show all in-inventory products that ezyVet has, do not make a selection in the Product Group box of the report settings.

For the report output format, use CSV.

To select the inventory location of the inventory count, use the Location box.

To save the report output, use the Print button.

Note: If you cannot see the Inventory Take report, your user account does not have the applicable report permissions. Speak to your practice manager.

2. Count and record your inventory levels

To open the output file of the Inventory Take report, use Microsoft Excel.

The report output has two columns that are necessary for the inventory count. And if your inventory count includes batch-tracked products, you must also manually add a Batch column to the report output.

This table gives information about each column and its function:

ActualUse the Actual column to enter the quantity of the product that the applicable inventory location has in inventory.
Note: If the product is batch-tracked:
  1. In each entry in the Actual column, enter the product quantity of one batch only.
  2. In the Batch column, make sure that you enter the correct batch number.

Important: The output of the Inventory Take report does not initially include a Batch column. If your inventory count includes batch-tracked products, you must manually add the column. To add the column, enter Batch in an empty cell of the first row of the output file.
After you add a Batch column to the report output, use the column to enter a batch name for each batch-tracked product. If a product has more than one batch:
  1. In the report output, add a row or find an empty row.
  2. In the Code column of the row that you added or found, enter the product code of the batch-tracked product.
  3. In the Actual column, enter the product quantity of one batch only.
  4. In the Batch column, enter the batch number.

Note: The output of the Inventory Take report includes these columns but ezyVet does not use them for the inventory count:
  • Name
  • Barcode
  • Group
  • In Inventory
  • Change

Thus, it is not necessary to enter information in the columns.

After you enter the necessary data in the output of the Inventory Take report, save your changes.

3. Upload the completed CSV file to ezyVet

Upload the completed CSV file as follows:
  1. Select Financial.
  2. Select Inventory Count.
  3. Select the Import tab.
  4. In the Date & time box, enter the date that you did the inventory count.
  5. In the Inventory Location box, select the inventory location of the inventory count.
  6. If necessary, in the Comments box, enter information about the inventory count.
  7. Select Choose file, then upload the completed CSV file.
  8. Select Import.

Troubleshooting

After you complete the full inventory count procedure, ezyVet makes an inventory count record that has the changes. If the result of the full procedure is not correct, you can deactivate the inventory count record and do the procedure again. As an alternative or if you have other problems, speak to ezyVet customer support.
