Windcave: Saved payment cards and end of day reporting

A practice manager can configure a Windcave payment method to show a pop-up window that you can use to save a client's payment card information. When you save the payment card information, ezyVet records the payment method that the client used. If the client uses the saved payment card with a different payment method, ezyVet records the payment as the original payment method.

For example, you used a Windcave terminal to save a clients payment card information. Then, you send a remote payment link to the client for a different invoice. The client selects the saved payment card when they use the remote payment link to make the payment. ezyVet records that the client used the Windcave terminal payment method to make the payment.

This can cause problems with your organization's end of day reporting. For example, you could have different financial values if you:
  • Do a count of the receipts of your organization's terminal payments
  • Do a Payment Summary report
If your organization uses saved payment cards, it is important that you activate the Add the column and table for card types from vendor setting of the Payment Summary report. If you activate the setting, the output of the report shows two columns:
  • The Card on File column
  • The Non Card on File column

The columns show the total value of payments of the applicable payment method that used a saved payment card and did not use a saved payment card. You can use the values of the columns to help do payment reconciliation. For example, you can do a check to make sure that the value of the Non Card on File column is the same as the value of the receipts of your organization's terminal payments.
