About planning guides

Planning guides decrease the manual work necessary for staff to make appointments at the correct available times and with the correct information.

Use a planning guide to:
  • Help persons to easily see the available appointment times of a staff member's calendar
  • Set a period during which persons must not make appointments
  • Prevent appointments that accidentally have the incorrect time and incorrect calendar
  • Help persons to quickly and easily make appointments that have the correct appointment type

A calendar is usually in appointment mode. When a calendar is in appointment mode, you can add appointments to it. To add a planning guide, use the calendar controls to change the applicable calendar to planning guide mode.

After you change to planning guide mode, the calendar shows an interface that has almost the same function as appointment mode. The calendar times that you select in planning guide mode are an aid to the calendar's appointments. They do not remove or replace the calendar's appointments.

When a calendar is in appointment mode, planning guides shows with a transparent color. Appointments and planning guides shows a calendar that is in appointment mode. 18 May shows appointments and 19 May shows planning guides.

Planning guides, the online portal, and the kiosk

You can also use planning guides with:
  • Online portal appointments
  • Kiosk appointments
Note: You can only use planning guides with the Calendar dashboard tab or online portal appointments or kiosk appointments.

Recurring planning guides

If necessary, you can configure a recurring planning guide. A recurring planning guide has almost the same function as a recurring appointment.

User account permissions for planning guides

To make or change a planning guide, your user account must have the Administration > Add/Edit Calendar Planning Guides permission.
