CUBEX temporary patient records

The CUBEX system has a feature that you can use to make temporary patient records. Make a temporary patient record if you must dispense a product from a CUBEX cabinet for a patient that does not have an ezyVet patient record or an ezyVet clinical record. Thus, you can dispense products without the ezyVet records. An example of when you would make a temporary patient record is if you must dispense emergency medication from a cabinet.

Note: Before you can make a temporary patient record, a practice manager must enable the Auto Generate Temp Patient setting in MyCubex.

After you make a temporary patient record, you can dispense a product from a CUBEX cabinet. The cabinet syncs the temporary patient record and the dispense information to ezyVet. Then the Unallocated Dispense Cabinet Patients section of the Dispense Cabinets dashboard tab shows the temporary patient records.

You cannot use a CUBEX temporary patient record to invoice clients. To invoice clients, you must use ezyVet records. There are two methods that you can use to invoice clients for dispensed products:
  • Make ezyVet records for a CUBEX temporary patient record
  • Merge CUBEX temporary patient records with ezyVet records

Method: Make ezyVet records for a CUBEX temporary patient record

If you do not have ezyVet records for a patient or a client, you can make the records. For example, if a patient is at your organization for the first time, you can make the applicable records. Then you can invoice the client for the products that you dispensed.

Method: Merge CUBEX temporary patient records with ezyVet records

If ezyVet has records for the patient and the client, you can merge the temporary patient records with the ezyVet records. Then you can invoice the client for the products that you dispensed.

Removal of CUBEX temporary patient records

If it is not necessary to invoice a client for the dispensed products of a CUBEX temporary patient record, you can remove the temporary patient record. After you remove the record, you cannot invoice the applicable client for the dispensed products.

Note: ezyVet customer support does not recommend that you remove temporary patient records. If you remove a temporary patient record:
  • ezyVet does not have a record of the dispensed products that are related to the temporary patient record
  • You cannot invoice the client for the dispensed products that are related to the temporary patient record
