About AI-Assisted Notes

The AI-Assisted Notes feature uses voice recording to automatically make written clinical notes in SOAP format. The feature decreases the manual work necessary to write SOAP notes.

This image shows an example of written SOAP notes that the AI-Assisted Notes feature made from a voice recording:
An example of written SOAP notes

The AI-Assisted Notes feature examines a voice recording and automatically finds the parts of it that are applicable to clinical work. As a result, the written notes that the feature makes are high quality and have less unwanted information.

ezyVet keeps all recordings that you make with AI-Assisted Notes in the applicable clinical records:

Tip: To get the best results from the AI-Assisted Notes feature:
  • Use a good-quality microphone
  • Always examine the written notes that the feature makes and make corrections before you add the notes to the clinical record
Note: AI-Assisted Notes is not compatible with:
  • Clinical templates
  • Billing triggers
Note: For a given consultation, more than one staff member can use AI-Assisted Notes at the same time. But ezyVet only shows recordings and written notes for one staff member until you refresh the screen.

This table gives each step of a recommended workflow for AI-Assisted Notes:

StepTask
1Make sure that you have these user account permissions:
  • Clinical > Clinical Exam > Health Status > Add/Edit
  • Clinical > Clinical Exam > History > Add/Edit
  • Clinical > Clinical Exam > Physical Exam > Add/Edit
  • Clinical > Clinical Exam > Assessments > Add/Edit
  • Clinical > Clinical Exam > Plan > Add/Edit
2Open an applicable clinical record.
Note: Make sure that the clinical record:
  • Has a case owner set
  • Is not locked
  • Is not deactivated
3Get consent from the client and start recording. If necessary, you can pause the recording, then start it again.
4To make sure that the recorded information is accurate, listen to the recording or read written output of the recording.
Note: If you remove a recording, the removal is permanent. You cannot get the recording back again.
5Select Review notes. As a result, ezyVet automatically puts written notes into SOAP format. Do a check of the written SOAP notes and make changes and corrections to them as necessary.
6When the written SOAP notes are accurate, select Add to notes. As a result, ezyVet syncs the notes to the applicable SOAP sections of the clinical record.
7Make more recordings as necessary.
Note: For the best results, each staff member can make a recording for the applicable type of clinical work during the consultation.
8You and other staff members select Mark as complete to give approval for the notes. ezyVet keeps the recording and notes with the clinical record and you can open them when necessary.
Note: As an alternative, select Review later to give approval at a different time.
