ezyVet version 45.5: Changes to inventory levels of batches
Read about changes to the inventory levels of batches in ezyVet version 45.5.
A batch-tracked product has a recorded quantity for each batch. The total inventory level of the product is the sum of the quantities of all of its batches.
- Kept the quantity that you recorded for the batch
- Continued to use the batch quantity to calculate the product's total inventory level
- The total inventory level of the product was more than the quantity of the product in your physical inventory
- Because the Inventory balances table of a product record's inventory settings does not show deactivated batches, it was not clear why the inventory level was incorrect
- The product is batch-tracked and has deactivated batches
- The product's Inventory tracking level setting was set to Batch before, but changed to Product
The sections that follow give information about the automatic changes.
Changes to batch-tracked products with deactivated batches
If a deactivated batch has a quantity that is not zero, ezyVet changes the quantity to zero. As a result, the total inventory level of a product record does not include the quantities of its deactivated batches. For most of the applicable product records, the total inventory level decreases.
Changes to products if their Inventory tracking level setting changed from Batch to Product
A product record that has Inventory tracking level set to Product keeps one quantity for the product, in the Unallocated batch. Some of these product records also had quantities in other batches from when they were batch-tracked.
- Reads the total inventory level that the product record shows
- Records the quantity in the Unallocated batch of the product record
- Changes the quantity of each of the other batches of the product record to zero
The total inventory level of the product record at each location does not change. Only the location of the recorded quantity changes. ezyVet gives the same result after you change the product record's Inventory tracking level and save the record.
Increased inventory levels and the Unallocated batch
Some organizations entered a quantity in the Unallocated batch of a batch-tracked product record. The quantity was equal to the quantity of a deactivated batch. As a result, the total inventory level of the product record was correct. But the quantity in the Unallocated batch was not a quantity of the product in the organization's physical inventory.
For these product records, ezyVet version 45.5 removes the quantity of the deactivated batch. The quantity of the Unallocated batch does not change. As a result, it is possible that the total inventory level of the product record incorrectly increased.
To make sure that the total inventory level is correct, it is possible that you must do an inventory count. This table gives possible properties of a product record and information about what you must do:
| Product record properties | Information |
|---|---|
| Do the procedure given in Do an inventory count. |
| Do the procedure given in Do an inventory count. When you do step 8, select Unallocated. As a result, the Count box shows 0 and you cannot change it. Thus, it is not necessary to do step 9. |

The inventory counts that ezyVet used
To change the batch quantities, ezyVet used inventory counts. The inventory counts show that a system user account made them.
ezyVet does not show these inventory counts in the inventory count screen. As a result, the inventory count screen only shows inventory counts that your organization's staff did.
ezyVet records the changes to the batch quantities as inventory movements. ezyVet shows the inventory movements in the inventory settings of the applicable product record. As a result, you can see each change that ezyVet did.
Batch quantities that ezyVet does not show
Each deactivated batch has a quantity of zero. It is possible that your site can have a quantity of a product from a deactivated batch.
- Do an inventory count of the product for the correct active batch
- Activate the applicable batch again, then record the quantity for the batch
- In the Overall inventory movement table of a product record's inventory settings, find a batch that the Inventory balances table does not show.
- Double-click the row of the batch. As a result, ezyVet shows an Edit batch dialog box.
- In the Edit batch dialog box, select Restore.
- Change the quantity of the batch to zero.
- Deactivate the batch again.
