About insurance pre-approvals for Trupanion

If your organization uses the Trupanion integration, you can send an insurance pre-approval from ezyVet to Trupanion directly.

An insurance pre-approval:
  • Tells Trupanion about a patient who will receive treatments and procedures for a specified clinical condition
  • Tells Trupanion that the patient owner will make an insurance claim for the treatments and procedures

After Trupanion receives an insurance pre-approval from ezyVet, Trupanion does a check of the information in the pre-approval. Then Trupanion makes a decision about if the patient owner can receive coverage for the treatments and procedures of the clinical condition. If the patient owner can receive coverage, Trupanion sends the pre-approval back to ezyVet. Then ezyVet tells you that Trupanion can give coverage to the patient owner.

To send an insurance pre-approval, you use an estimate in ezyVet. You use the estimate to add the treatments, procedures, and other items that are necessary for the patient’s clinical condition. After you prepare the estimate, you select the SEND PRE-APPROVAL button that the estimate screen shows:

After you select SEND PRE-APPROVAL, ezyVet shows a Send Pre-Approval request dialog box. The dialog box shows
  • Information about the patient (for example, the patient name, species, and age)
  • Information about the client (for example, the client name and address)
  • The insurance number of the patient
  • The items of the estimate and the cost of each item

Use the Send Pre-Approval request dialog box to:
  • Add the clinical conditions that the patient has
  • Send the insurance pre-approval to Trupanion
The Send Pre-Approval request dialog box has a Vet box and a Claim Handler box. Use the Vet box to select the veterinarian who made the estimate. Use the Claim Handler box to select the user account of a staff member who receives memos when the status of the pre-approval record changes.

After you send the insurance pre-approval, ezyVet makes an insurance pre-approval record and shows it in the estimate screen. The record shows an initial status of Preapproval generated:

If Trupanion can give coverage for the clinical conditions, they use the pre-approval record to tell ezyVet directly. Then:
  1. ezyVet changes the record to show Preapproval generated
  2. The SEND PRE-APPROVAL button shows dimmed
Note: If an insurance pre-approval of an estimate is in progress, you cannot send an insurance pre-approval again. Each estimate can have one in-progress pre-approval only.
Note: ezyVet shows insurance pre-approval records and their statuses in the estimate screen only. You cannot use the Records dashboard tab or other ezyVet functions to show pre-approval records and statuses.
