New client registration, first appointments, and ezyVet records

Read about how client registration and first appointment information syncs from the Vello client portal to applicable ezyVet records.

If a person is not a client of your practice, they can use the Vello client portal to complete registration and make their first appointment. After the new client completes registration and makes the appointment, they can use the client portal to:
  • Get access to appointment information for their first appointment
  • Know about medical care for their pets
  • Add pets
  • Change pet photos
  • Make subsequent appointments

Registration for new clients and ezyVet records

A new client's registration information syncs to ezyVet. As a result, it is not necessary for staff to make the applicable records directly in ezyVet.

This table shows the registration information that a new client enters in the Vello client portal, and where the information syncs to in ezyVet:

  • Address
  • Mobile phone number
  • Email address
Note: If a client starts to enter address information in the Address box, Vello automatically shows available addresses that the client can select. To enter their address manually, they can select Enter manually.

Note: If a person completed registration in the client portal, the record sidebar of the client contact record shows Created By: Vello:

Pet information:
  • Name
  • Sex
  • Date of birth
  • Species
  • Breed
  • Color

Note: If a person completed registration in the client portal, the left sidebar of the patient record shows Created By: Vello:

Appointments for new clients and ezyVet records

After a new client enters registration information, they can use the Vello client portal to:
  • Make their first appointment with your practice
  • Enter the name and phone number of a previous practice
  • Upload their pet's clinical records directly

This table shows the information that a new client enters when they make their first appointment, and where the information syncs to in ezyVet:

  • The visit type that the person wants to schedule
  • The staff member that they want for the appointment
  • The appointment date and time
  • Information about why the appointment is necessary
The appointment information syncs to a new appointment record.
Note: If you use appointment requests for online booking, you must confirm the appointment in Vello to sync it to a new appointment record.
A client can enter the name and phone number of a previous practice. And you can contact the practice to make a request for a pet's records.

The previous practice information syncs to the Reason for appointment box in a new appointment record.
A client can upload their pet's clinical records directly (for example, if a client has a file that shows their pet's vaccination records).

The files sync to the Attachments tab of the applicable patient record.

First appointment information shown in Vello

When a new client makes their first appointment during client registration, the Requests & Notifications screen in Vello shows an entry for the appointment. And the screen shows New in the Patient column for the appointment.

Appointment entry for a new pet
When you select the appointment entry, Vello shows a Review Appointment dialog box. If the new client entered more information when they made their first appointment , Vello shows the information in the Notes section of the dialog box. For example, the Notes section can show:
  • The name and phone number of a previous practice
  • A message to tell you that the client uploaded their pet's clinical records
