Basic workflow for new clients to complete registration and make an appointment

If a person is not a client of your practice, they can use the Vello client portal to complete registration and make their first appointment with your practice.

After a person completes the basic workflow, they have access to the client portal and they can:
  • Get access to appointment information for their first appointment
  • Know about medical care for their pets
  • Add pets
  • Change pet photos
  • Make subsequent appointments

Registration for new clients and ezyVet records

A new client's registration information syncs to ezyVet. As a result, it is not necessary for staff to make the applicable records directly in ezyVet.

This table shows the registration information that a new client enters in the Vello client portal, and where the information syncs to in ezyVet:

Note: If a client starts to enter address information in the Address box, Vello automatically shows available addresses that the client can select. To enter their address manually, they can select Enter manually.

Pet information:
  • Name
  • Sex
  • Date of birth
  • Species
  • Breed

Appointments for new clients and ezyVet records

After a new client enters registration information, they can use the Vello client portal to:
  • Make their first appointment with your practice
  • Enter the name and phone number of a previous practice
  • Upload their pet's clinical records

This table shows the information that a new client enters when they make their first appointment, and where the information syncs to in ezyVet:

  • The visit type that the person wants to schedule
  • The staff member that they want for the appointment
  • The appointment date and time
  • Information about why the appointment is necessary
The appointment information syncs to a new appointment record.
Note: If you use appointment requests for online booking, you must confirm the appointment in Vello to sync it to a new appointment record.
A client can enter the name and phone number of a previous practice. And you can contact the practice to make a request for a pet's records.

Tip: If a client added previous practice information, Vello shows a message in the applicable appointment entry in the Requests & Notifications screen.
A client can upload their pet's clinical records directly (for example, if a client has a file that shows their pet's vaccination records).

The files sync to the Attachments tab of the applicable patient record.
Tip: If a client uploaded a file, Vello shows a message in the applicable appointment entry in the Requests & Notifications screen.

General steps to let new clients complete registration and make their first appointment

This table shows information about each step that a practice manager must do to let new clients:
  • Complete registration
  • Make their first appointment and subsequent appointments in the client portal

Note: Vello does not automatically activate Allow Creation of New Client in Booking Flow. But if you activate it, Vello automatically activates Allow Creation of New Pet.
Let new clients complete registration in the Vello client portal
4Select the buttons that show adjacent to APPOINTMENT BOOKING in the Practice Profile screen to get the link or QR code. Add the link or QR code to your website, newsletters, and flyers. As a result, new clients have access to the correct link to complete registration and make an appointment.

Note: It is not possible for persons to use other methods to get access to the client portal for registration and to make their first appointment.

Appointments and the Requests & Notifications screen

After a new client makes an appointment for a new pet, the Requests & Notifications screen shows an appointment entry for the appointment. And the screen shows a New label in the Patient column for the applicable appointment entry.
