About online scheduling configuration

Online scheduling in Vello lets clients use the Vello client portal to make appointments. Before clients can use online scheduling in the Vello client portal, a practice manager must do the necessary configuration.

Vello has two available configuration types for online scheduling:
  • Appointment requests
  • Direct Booking

Appointment requests

Appointment requests is a type of configuration that you can use for online scheduling in Vello. With appointment requests:
  1. Clients can make appointment requests in the Vello client portal
  2. Your practice receives appointment requests in the Vello inbox
  3. Staff must give approval in Vello for appointment requests that clients used the client portal to make
  4. After staff give approval, Vello syncs appointments to your PIMS calendar
Note: When you activate online scheduling, Vello automatically sets appointment requests as the configuration type.

Direct Booking

Direct Booking is a type of configuration that you can use for online scheduling. With Direct Booking:
  • Clients can use the Vello client portal to schedule appointments directly in your PIMS calendar
  • It is not necessary for clients to wait for approval from staff for appointments that they schedule in the client portal
  • It is not necessary for staff to give approval in Vello for appointments that clients used the client portal to schedule
Note: When a client schedules an appointment directly, you receive a message in the Vello inbox to tell you:

About visit types

If you activate online scheduling, a client selects a visit type for an appointment request or to schedule an appointment directly. The available visit types are wellness visit or sick visit. A wellness visit is for a patient who does not have a medical problem. A sick visit is for a patient who does have a medical problem.

About the Appointment Scheduling screen

Use the Appointment Scheduling screen in Vello to do the necessary configuration for online scheduling. For example, you can:
  • Activate online scheduling
  • Get access to configuration settings for wellness visits and sick visits
  • Select direct booking or appointment requests as a configuration for wellness visits and sick visits
  • Set the periods that show to clients as available for appointments for the applicable visit types (for example, 15 minutes or 30 minutes)
  • Set the days and times that show to clients as available for appointments for the applicable visit types
  • Select the staff members that show to clients as available for appointments for the applicable visit types.

To activate Vello online scheduling, set Online Appointment Scheduling to Enable:

Note: If you do not activate online scheduling, the Vello client portal shows a message that tells clients to make a phone call to schedule an appointment.

Configuration settings for visit types

To show configuration settings for sick visits and wellness visits, select the Edit button shown in the Wellness Visits or Sick Visits sections of the Appointment Scheduling screen.

The table that follows gives each configuration setting and its function:

Tip: Enter information that helps clients to know if a visit type is applicable to their appointment. For example, for a sick visit, you could enter a Description of My pet is showing signs of illness or discomfort.
Booking TypeTo configure online scheduling to use direct booking, Set Booking Type to Direct Booking.

To configure online scheduling to use appointment requests, set Booking Type to Appointment Requests.

Note: After you activate online scheduling, Vello automatically selects Appointment Requests.
Appointment LengthUse Appointment Length to set the periods that are available for clients to select for an appointment. For example, you can select 15 minutes or 30 minutes.
Calendar AvailabilityTo set the days and times that are available for appointments, set Calendar Availability to Configure Schedule in Vello

If necessary, you can make different times available for appointments during the same day.

Tip: To use planning guides as a method to configure available times, set Calendar Availability to Use Planning Guides.
Provider AvailabilityUse Provider Availability to select the staff members that are available for appointments.
