Requests & Notifications screen: Requests tab

Use the Requests tab of the Requests & Notifications screen to monitor appointment and prescription refill requests that clients use the Vello client portal to make.

Note: The new Requests & Notifications screen is a beta feature, but it will become available for all customers at a subsequent date. You can read this documentation to prepare your practice to use the new Requests & Notifications screen when it is available.
Note: When the Requests & Notifications screen becomes available for you to use, changes and requests from clients do not show in the conversation view of the Vello inbox. As a result, use the new Requests & Notifications screen to know about the changes and requests.
An entry shows in the Requests tab when these conditions agree:
  1. A client made the request in the client portal
  2. It is necessary for you to do more steps to complete the request
For example, an appointment request shows in the Requests tab if a client made the request in the client portal. To complete the request, add the appointment to your PIMS calendar.

Areas and functions of the Requests tab

1A number can show adjacent to Requests tab. Examples of what the number identifies:
  • New appointment requests
  • Prescription refill requests that are available for you to read
2The Requests tab shows a set of filters that you can use to quickly and easily find information in the screen. The available filters are:
  • Prescription Refills
  • Appointment
  • Show Completed
3The Description column shows information about the applicable entry. And you can select an entry to get access to more information about it.

An appointment request entry shows the visit type that the client selected (for example, wellness visit).

A prescription refill request entry shows the applicable medication information.

4If you select the link in a client's name, Vello shows the conversation view in the Vello inbox for the applicable client.
5The Patient column shows the name of the pet that the entry is related to. In an appointment entry, if a pet did not previously have an appointment scheduled with your practice, Vello shows New adjacent to the pet's name.
In an appointment entry, Vello shows New adjacent to a pet's name if:
  1. A client added the pet directly in the client portal
  2. The client made an appointment for the pet
6After you select the horizontal ellipsis (  ) for an entry, Vello shows Mark as Done and Mark as Read

If you select Mark as Done, Vello completes the entry and removes it from view

If you select Mark as Read, Vello:
  1. Removes the bold formatting from the applicable entry
  2. Decreases the number shown adjacent to the Requests tab
Note: To get access to a completed entry, select Show Completed in the filters section.

Appointment requests

If you select an appointment request in the Requests tab, Vello shows an Add Appointment to Calendar dialog box:

You can enter the necessary information for the appointment in the dialog box. Then, to confirm the appointment and add it to your PIMS calendar, select Add to Calendar.

Note: If you make changes to the information in the dialog box, the Requested as section is a record of what the client initially made for their appointment request. The section shows:
  • Appointment type
  • Date and time
  • Provider

If you want to remove an appointment request from view, select Mark as Done.

Prescription refill requests

If you select a prescription refill request in the Requests tab, Vello shows a Review Prescription Refill dialog box:

The Review Prescription Refill box shows:
  • Medication name
  • Quantity of the medication that a staff member previously prescribed
  • Date that a staff member previously prescribed the medication

Use the Review Prescription Refill dialog box to do a check of the prescription refill request.

Tip: To send a text message to the client with more information about their request, select Send Message. For example, the text message can tell the client that they can collect their medication.

If you want to remove the prescription refill request from view, select Mark as Done.
