Requests & Notifications screen: Notifications tab

The Notifications tab of the Requests & Notifications screen makes it easy for you to monitor changes and appointments that clients use the Vello client portal to make directly.

Note: The new Requests & Notifications screen is a beta feature, but it will become available for all customers at a subsequent date. You can read this documentation to prepare your practice to use the new Requests & Notifications screen when it is available.
Note: When the Requests & Notifications screen becomes available for you to use, changes and requests from clients do not show in the conversation view of the Vello inbox. As a result, use the new Requests & Notifications screen to know about the changes and requests.
The information that you can use the Notifications tab to monitor is as follows:
  • Changes that clients made to their pet's information
  • Appointments that clients made directly in your PIMS calendar
  • Completed Vello forms

The Notifications tab is for you to monitor different types of pet and client information (for example, completed Vello forms and appointments that clients made directly in your PIMS calendar). Compared to entries shown in the Requests tab, the entries shown in the Notifications tab are for your general information only.

Areas and functions of the Notifications tab

1A number can show adjacent to Notifications tab. Examples of what the number identifies:
  • New appointments that clients made directly in your PIMS calendar
  • New completed Vello forms
  • Pet information changes
2The Notifications tab shows a set of filters that you can use to quickly and easily find information in the screen. The available filters are:
  • Appointment
  • Client
  • Patient ()
  • Forms
  • Show Completed
3The Description column shows information about the applicable entry. And you can select an entry to get access to more information about it.

An appointment entry shows the visit type that the client selected (for example, wellness visit).

A Vello form entry shows the type of form that the client completed.

A Patient update entry shows the type of information that a client changed in the client portal for their pet (for example, name, breed, color, or, sex)

A Patient deceased entry shows if a client selects Report Pet as Passed Away in the Vello client portal.

4If you select the link in a client's name, Vello shows the conversation view in the Vello inbox for the applicable client
Note: If you do not use Vello text messaging, the client name does not include a link to the conversation view.
5The Patient column shows the name of the pet that the entry is related to. In an appointment entry, if a pet did not previously have an appointment scheduled with your practice, Vello shows New adjacent to the pet's name.
In an appointment entry, Vello shows New adjacent to a pet's name if:
  1. A client added the pet directly in the client portal
  2. The client made an appointment for the pet
6After you select the horizontal ellipsis (  ) for an entry, Vello shows Mark as Done and Mark as Read.

If you select Mark as Done, Vello completes the entry and removes it from view.

If you select Mark as Read, Vello:
  • Removes the bold formatting from the applicable entry
  • Removes the entry from the number shown adjacent to the Notifications tab
Note: To get access to a completed entry, select Show Completed in the filters section.

Appointments that clients scheduled directly in your PIMS calendar

If you select an appointment that a client scheduled directly in your PIMS calendar, Vello shows a Review Appointment dialog box:

The Review Appointment dialog box shows:
  • The date and time for the scheduled appointment
  • The name of the client
  • General information that the client made about the appointment (if applicable)

Use the Review Appointment dialog box to do a check of the appointment information. Then, if you want to remove the appointment from view, select Mark as Done.

Completed Vello forms

If you select a completed Vello form in the Notifications tab, Vello shows a Form Submitted dialog box:

The Form Submitted dialog box shows the form name and where the form synced to in your PIMS (for example, the applicable patient record and client contact record).

If you want to remove the completed form from view, select Mark as Done.

Client changes to pet information

If you select a Patient update entry in the Notifications tab, Vello shows a Patient Update dialog box:

The Patient Update dialog box shows the previous information for the pet, and the change that the client made to the information in the client portal.

Tip: Changes to pet information that client makes in the client portal automatically sync to the applicable patient record in ezyVet.
If you select a Patient deceased entry, Vello shows a Patient Status dialog box:

The information in the Patient Status dialog box shows that a client selected Report Pet as Passed Away for a pet in the client portal.

Tip: When a client selects Report Pet as Passed Away:
  • Vello syncs the change to the applicable patient record in ezyVet
  • Vello does not send automatic appointment messages or medical service reminder for the deceased pet
  • Clients can keep access to their pet's information in the Vello client portal

If you want to remove an entry from view, select Mark as Done.
